Greenmind is committed to protecting your personal information in accordance with the Privacy Act 1988 (Cth). Our Privacy Policy outlines how we collect, use, store, and disclose your personal information. Personal information is collected when you interact with us, such as by completing an online registration form, subscribing to our email newsletters, submitting comments or postings, or contacting us via email. You are responsible for ensuring that any personal information you provide on this website is accurate, truthful, and not misleading, offensive, defamatory, or fraudulent. Confidentiality
As Greenmind holds the privacy of our therapeutic sessions highly, recording, whether audio or visual, is not permitted. This includes recording of face-to-face sessions in clinic, or during video or telephone consultations. Please refer to our Privacy Policy.
Respectful Behaviour
Greenmind holds respect as a value. Aggressive or intimidating behaviour will not be tolerated whether in person or by phone, video or email and could lead to termination of our service agreement.
Copyright and Acknowledgments
Greenmind retains all intellectual property rights to the content provided on this website. You are permitted to print single copies of pages from this website solely for personal, non-commercial use. Any other reproduction, distribution, or use of content in any form is strictly prohibited without the prior written consent of Greenmind. Our logo, corporate symbols and trademarks are the sole property of Greenmind and no permission is given in respect of their use.
Appointments and Forms
Part of booking your first appointment is completing an online client registration form. This is required as part of engaging our services. It is your responsibility to ensure the accuracy of the details you provide. Accuracy of your personal details is important so we can uphold privacy and ensure communication reaches only you. Any referral or additional client information can be attached when you complete your online registration form. You may also be asked to complete other assessment forms, depending on your therapy needs. If you arrive late to your session, you will be entitled to the remainder of the allocated appointment time, but the duration will be shortened to fit within your booked timeslot. This is to ensure appointments run to schedule and following clients are not affected. Greenmind offers a text reminder service prior to your scheduled appointment. Reminders are sent out 72 hours prior to your appointment. However, it is your responsibility to record and remember the timing of your appointments.
Sessions
Session frequencyWhilst the frequency of sessions depends on the client and the nature of the concern, it is recommended that an initial commitment to five appointments preferably on a weekly or fortnightly basis, is understood after which we will re-assess needs for ongoing therapy. However, please know that you are entitled to end your therapy at any time, should you wish to do so. Please also discuss any questions or concerns you may have regarding the format of your sessions, so we can collaboratively seek the best option that works for you.
Duration of sessionsTime allowed for individual sessions are 60 minutes (50 minutes for your session and 10 minutes for the clinician to complete your clinical notes). However, a first session is 75 minutes, to allow for a comfortable, non-rushed time in getting to know you better (60 minutes in session and 15 minutes for clinical notes).
  • Guidelines to get the best from your sessions
  • To get the most out of your sessions, we recommend that you:
  • aim to attend every scheduled session
  • be prepared to share your thoughts and feelings openly
  • complete any out-of-session tasks agreed to
  • when unsure, ask for clarification about any of the counselling activities being undertaken, and discuss any doubts or concerns you have with me.
  • Session Space
  • Sessions are offered in person, online via video, or via phone. Our in-person clinical rooms are private and safe but when we work online, sessions are provided on the basis that we both:
  • Ensure that we have a confidential and uninterrupted space (eg, closed door and being private in a room where the video session is taking place, or a private space for phone call)
  • As far as we are able, will aim to have reliable connectivity when using telehealth.
Clinical NotesGreenmind may use secure, privacy-compliant, clinical AI tools specifically designed for therapists to assist in drafting and summarizing clinical notes. These tools are designed to support the client by reducing administrative burden, allowing more time for client care. AI-assisted notes are always reviewed and personally finalized by the counsellor. All use of AI is in accordance with Australian privacy legislation and relevant professional ethical codes. You may opt out of having AI tools used in relation to your clinical notes. Please let us know if you have concerns.
Appointments, Cancellations and Rescheduling of Appointments
At Greenmind we understand that life happens, and unexpected issues may arise. You are welcome to reschedule individual appointment when this happens. If you need to change your booking to another date or time, please do so as soon as you become aware that you need to do so. Please call or email us. We prefer booking changes to be made outside the 48-hour period prior from your appointment. Bookings cannot be changed within 24 hours of your appointment as this does not allow us the opportunity to fill the timeslot with another client. If you need to cancel your appointment, the following will apply:
  • Deposits are non-refundable.
  • For cancellations within 48 hours of your appointment, no additional fees will be charged
  • For no-shows or cancellations within 24 hours of your appointment, the full appointment fee will be charged.
  • If you arrive late to your session, you will be entitled to the remainder of the allocated appointment time, but the duration will be shortened to fit within your booked timeslot. This is to ensure appointments run to schedule and following clients are not affected.

Payment Methods
Greenmind accepts debit- and credit cards (Visa and Mastercard). We also accept PayPal payments for the MBSR and MBCT group bookings. Clients wanting to pay via PayPal must have their own PayPal account. Cash payments for balance of invoice will only be accepted with face-to-face appointments.
Payment Information
When your initial appointment is booked, Greenmind requires you to provide debit or credit card payment information. Electronic payment processing is provided by Braintree with bank-grade encryption. As a security measure, card details are not visible to anybody. If card details need to be altered or updated, this requires the card to be completely re-entered, as a tokenised card is unable to be edited.
Payments – Individual Appointments
Deposit When you make your first appointment online, a 40% non-refundable deposit will be accepted to secure your first appointment. The balance of your payment is due at the end of your session. Session Fees General individual sessions are 60 minutes (50 minutes in session and 10 minutes for client notes) and cost $110. We keep our cost low purposefully as this amount is close to the general Medicare out of pocket fee you will incur for an average psychologist appointment. This ensures that you are not disadvantaged and allows for accessible services. Individual sessions can only be booked online by a client once that person has been accepted as a client and has had their first session. Cost for first sessions is $130 as these are 75 minutes (60 minutes in session and 15 minutes for client notes). Unsuccessful payments
If your payment is unsuccessful for any reason (insufficient funds or incorrect card details provided by you), we will attempt to contact you by phone, text or email and provide you with an opportunity to process the payment again. You will not be able to attend another appointment until payment is successful.
Payments – Workshops and Group Sessions
Full payment for workshops or group sessions are made at the time of booking. For larger group session payments such as MBSR, PayPal’s 4-payment option provides for four smaller payments as an easier option.
Cancellations – Workshops and Group Sessions
Note: Greenmind workshops and multi-week courses such as MBSR and MBCT are contingent on minimum enrollment. If the course is cancelled, due to insufficient enrollment, you’ll receive a full refund. We will contact you prior to the start of the course this is the case. Otherwise, assume the class / session is taking place. For single session workshops:
  • Cancellations received up to or before 3 working days before the event – a full refund will be made
  • Cancellations received less than 3 working days before the event – no refund will be made.
  • We will offer the option to transfer to a future course should you wish to do so, in which case your payment will be transferred.
  • For 3 or 4-week group workshops:
  • Cancellations received up to or before 5 working days before the start date– a full refund will be made
  • Cancellations received less than 5 working days before the start date – no refund will be made.
  • We will offer the option to transfer to a future course should you wish to do so, in which case your payment will be transferred.
For MBSR or MBCT:
  • Cancellations received up to or before 15 working days before the event – a full refund will be made
  • Cancellations received less than 15 working days before the event – a 70% refund will be made
  • Once you have attended the course interview and the latter indicates that this course would not be suitable for you, a full refund will be made
  • If the course interview indicates that you are suitable for the course but you decide to withdraw from the course after the course interview, a 60% refund will be made
  • If you withdraw from the course after it has started, no refund will be made but you will be offered the opportunity to attend alternative course options.
Card Fees
Any card / payment fees are payable by the client.
Limitations of Service
Greenmind is not an emergency service and is unable to respond to requests for urgent assistance. Please refer to our ‘Resources’ page for a variety of emergency services.
Court, Tribunal or Mediation
Greenmind’s core business activity is therapeutic wellbeing and counselling services provided to individuals or groups. We do not provide court reports / letters or advice regarding legal matters.
Linking to this Website and Misconduct
You may link to this website provided you do so in a way that is fair and legal and does not damage Greenmind’s reputation or take advantage of it. No such link can in any way suggest any form of association, approval or endorsement. Greenmind reserves the right to terminate your access to the website without prior notice if you engage in conduct that violates these terms and conditions. This includes, but is not limited to, misuse of the website or its content. Greenmind may also deny you access to the website for any future use as deemed appropriate.
